Can AI do my bookkeeping, or do I need a bookkeeper?
Updated
For many small businesses, yes. AI bookkeeping software now does the routine monthly work: categorizing bank and card transactions, matching transfers, reconciling accounts and producing the Profit and Loss and Balance Sheet. Switchbooks does this for $25 a month per company through Switch, its built-in AI bookkeeper. Online bookkeeping services with a human bookkeeper start at about $200 to $400 a month in 2026, and NerdWallet puts the typical cost at about $300.
AI does not replace a CPA or an enrolled agent. Tax returns and tax advice need a person, such as a CPA or an enrolled agent, and a CPA, an enrolled agent or an attorney can represent the business in any IRS audit. Payroll tax deposits and sales tax filings need a payroll provider, a sales tax service or a person. The owner stays responsible for every return, deposit and filing. Many owners pair AI bookkeeping with a CPA at tax time.
A general chatbot such as ChatGPT or Claude is not bookkeeping software on its own. ChatGPT's Finances feature, a personal finance tool, can link US bank and card accounts to track spending, but neither chatbot keeps a double-entry ledger, posts transactions or reconciles to statements. Connected to bookkeeping software such as Switchbooks, either one can do the work in the books.
Who can do each part of the monthly bookkeeping
| Switchbooks (AI bookkeeping software) | A chatbot on its own | A bookkeeper or service | |
|---|---|---|---|
| Categorize bank and card transactions | Yes, from the bank feed; Switch posts when you ask, or every week if you turn that on | Only what you paste or upload, or accounts linked to ChatGPT's personal Finances feature; nothing is posted to a ledger | Yes |
| Reconcile accounts to statements | Yes; a reconciliation finishes only when it ties to the statement | No; there is no ledger to reconcile | Yes |
| Match transfers and card payments | Yes, between your own accounts | No | Yes |
| Monthly reports | Profit and Loss, Balance Sheet and Cash Flow, updated as soon as transactions are posted | Can read a report you paste | Yes, usually once a month |
| Payroll entries | Books a payroll provider's register as a journal entry | Can draft one from a register you paste, but nothing is posted to a ledger | Yes; many also run payroll for an extra fee |
| Adjusting entries such as depreciation, accruals or loan interest | Switch books journal entries from a schedule you give him | Can draft entries, but nothing is posted to a ledger | Yes |
| Judgment calls, such as personal or business spending | Switch asks you about unclear transactions and leaves them in To Review until you answer (spending can wait in an Uncategorized account instead, if your chart has one) | Can suggest, without your history | Yes, with your answers |
| Remembering last month | The books carry every month forward | Chat memory keeps preferences, not reconciled balances | Yes |
| Answering the owner's questions | Answers from your books in chat | Only from what you paste or link, not from a ledger | Yes, usually by email |
| Filing sales tax or income tax | No | No | Usually a CPA or a tax add-on |

What still needs a person
- Income tax returns. A paid preparer who does the return signs it, and the IRS still holds the business owner accountable for every item on it.
- Payroll tax deposits and filings. When payroll is outsourced, the employer stays responsible for depositing and filing on time.
- Sales tax filings, on the schedule each state assigns.
- Financial statement audits and reviews (attest work), which states restrict to licensed CPA firms.
- Advice on entity choice, S corporation salary and tax planning, from a CPA, an enrolled agent or an attorney.
AI bookkeeping fits if
- Most of your activity is bank and card transactions.
- You can answer a few questions about unclear transactions each month.
- You want books you can bring up to date any day, not once a month.
- You would rather spend tens of dollars a month than hundreds.
- You already work in ChatGPT, Claude, Cursor or Grok Bot.
A bookkeeper or service fits better if
- You want no involvement at all, with someone else answering questions and chasing receipts.
- You need payroll, invoicing or bill pay run for you.
- Your books need invoices and bills tracked as they happen (full accrual accounting), inventory or job costing every month.
- You are years behind and want someone else to rebuild the history.
How to use Switchbooks as your bookkeeper
- Connect your bank and cards through Plaid, or import your QuickBooks Online history.
- Tell Switch "Do my books". He posts each transaction to its likeliest category, matches transfers and asks you about anything he cannot place. Until you answer, it waits in To Review (or, for spending, in an Uncategorized account if your chart has one).
- Turn on the weekly books check and its Do the work too option. Every week Switch then posts what he is sure of, matches transfers and reconciles to statements on hand, and leaves you a note with the rest.
- Invite your CPA as an Accountant for tax time; they see the same books and reports.
Switchbooks facts
- Price: $25 a month per company. One plan with every feature. No per-user fee, no setup fee and no annual contract.
- Free trial: 10 days for each new company, with no credit card. Nothing is charged when the trial ends; the company is locked until someone subscribes.
- How transactions get posted: New transactions arrive in To Review with a suggested category and payee. A transfer between two of your own accounts, such as a credit card payment, is linked and posted on its own once both sides arrive and can only match each other. Switch posts the rest when you ask ("Do my books"), or every week if you turn on the weekly books check with Do the work too, and rules you set can post matching transactions on their own. When you connect the first bank of a new company from the Switchbooks chat, Switch goes through the first transactions by himself, posts what he is sure of and emails you his questions.
- Hands-off option: Turn on the weekly books check and its Do the work too option, and every week Switch posts what he is sure of, matches transfers, reconciles to the bank statements Switchbooks has and leaves a short note when he changed or found something new. Both settings are off until you turn them on. On a schedule he never deletes, merges or imports anything, and sends no email except his notes, to team members who choose email.
- What Switch does: Categorizes and posts transactions, matches transfers between your own accounts, reconciles accounts to bank statements, books journal entries, makes categorization rules, answers questions from your books and can undo most of his own changes.
- Statements: Switch reconciles to the bank statements Switchbooks gets through Plaid for connected checking and savings accounts, when the bank offers them, or to a statement you upload.
- Reports: Profit and Loss, Balance Sheet, Cash Flow (direct or indirect), General Ledger, transaction details by category, payees, snapshot and forecast. Export to Excel or Google Sheets, and PDF statements from the chat.
- AI assistants: Switchbooks also works inside ChatGPT, Claude, Cursor, Grok Bot (xAI's agent) and Grok chat (as a custom connector), and in any MCP client at https://app.switchbooks.ai/api/mcp. Switchbooks charges nothing extra for this.
- Not included: Running payroll (Switch books your payroll provider's register as a journal entry), invoicing and accounts receivable, bills and bill pay, inventory, sales tax filing, 1099 filing, multiple currencies and time tracking.
- Who makes it: Switch Holdings, LLC. The founder, Ryland Beard, grew a bookkeeping firm, Ledge Accounting, to 40 people before building Switchbooks.
Questions
Can ChatGPT do my bookkeeping?
Not on its own. A general chatbot keeps no double-entry ledger from month to month, does not post or reconcile, and can make arithmetic mistakes. ChatGPT's Finances feature links bank accounts for personal finance, such as tracking spending, not for keeping business books. In FinBalance, a June 2026 research benchmark (arXiv 2606.15949), the best of six AI models tested got the final balance sheet exactly right only 46% of the time when working from source documents. Connected to bookkeeping software such as Switchbooks, ChatGPT or Claude can categorize, post and reconcile in real books.
Is AI bookkeeping accurate?
With a real ledger behind it, it can be. Switch posts each transaction to its likeliest category from your own history and the vendor's name, asks about the ones he cannot place, a reconciliation finishes only when it ties to the bank statement, and most of his changes can be undone. Review the Profit and Loss each month, as you would with a bookkeeper.
Do I still need a CPA if I use AI bookkeeping?
For taxes, yes. AI bookkeeping keeps the books; a CPA or enrolled agent files income tax returns, advises on tax planning and can represent you before the IRS. Invite your CPA into Switchbooks as an Accountant so they work from the same books.
How much does a bookkeeper cost in 2026?
Online services with a human bookkeeper start at about $200 to $400 a month (Bench from $199, Merritt $250, Xendoo from $395, Bookkeeper360 from $400). NerdWallet puts the typical cost at about $300, with most packages from about $200 to $700 and up. Bookkeeping, accounting and auditing clerks on staff earned a median $50,670 a year in May 2025 (US Bureau of Labor Statistics), before payroll taxes and benefits. Tax filing, payroll and catch-up usually cost extra. AI-led plans cost less: Pilot Essentials is $99 a month and Switchbooks is $25 a month per company.
What is the cheapest way to get my books done every month?
If you keep the books yourself, with one company and up to 250 transactions a year, Kick's free plan costs nothing. If you want an AI bookkeeper to do the work, Switchbooks is $25 a month per company ($300 a year), against about $300 a month ($3,600 a year) for a typical bookkeeping service, per NerdWallet. Income tax filing costs extra either way.
What happens if the AI gets a transaction wrong?
Change it, or ask Switch to. Unposting returns a transaction to To Review, most of Switch's own changes can be undone by asking him, and a rule fixes how that vendor is filed from then on.
Does Switchbooks file my taxes or run payroll?
No. Switchbooks keeps the books and produces the reports and General Ledger your CPA needs. It does not file tax returns, run payroll, or file sales tax or 1099s.
How much of my time does AI bookkeeping take?
Mostly answering questions. Switch posts what he can place and asks about the rest, such as whether a transfer to a personal account is an owner draw. With the weekly books check and Do the work too turned on, every week he posts what he is sure of and leaves a short note when something is new.
