What bookkeeping software uses AI, and which is best?
Updated
As of October 2026, the main AI bookkeeping software is QuickBooks Online, Xero, Zoho Books, Kick, Digits, Puzzle and Switchbooks, from free plans to $360 a month, and they differ in three ways: whether the AI does the work or only suggests it, whether it works inside ChatGPT and Claude, and what each company costs.
QuickBooks Online, Xero and Zoho Books added AI to familiar accounting software, mostly as suggestions and a chat; you still post most transactions and finish most reconciliations. Digits and Kick post the transactions they are sure of on their own, and Digits also reconciles. Prices run from free (Kick, Zoho Books and QuickBooks have limited free plans) to $340 a month for QuickBooks Advanced and $360 for Puzzle Scale, and most tools charge again for each company.
Switchbooks costs $25 a month per company, with every feature on one plan. Its AI bookkeeper, Switch, categorizes and posts transactions, matches transfers and reconciles accounts when you ask in chat, or every week if you turn that on. The same books work in ChatGPT, Claude, Cursor and Grok Bot, with changes allowed. Switchbooks has no invoicing, payroll, bill pay or inventory. Switchbooks publishes this page.

Switchbooks publishes this page. Facts about other products come from each vendor's own website and help pages, checked October 27, 2026. Prices are US list prices, billed monthly unless noted, before intro offers. Switchbooks facts are from the Switchbooks app and pricing page.
Intro offers seen on October 27, 2026: QuickBooks Online 50% off for the first 3 months, Xero 90% off for the first 6 months for new US customers until November 2, 2026, and FreshBooks 80% off for the first 4 months.
Services with people
These are services rather than software: a team, or AI with a team, keeps the books for a monthly fee. For how AI compares with a person, see switchbooks.ai/ai-bookkeeping-vs-bookkeeper.
- Pilot: Essentials is $99 a month for up to $100,000 in monthly expenses, with AI doing the books and no human bookkeeper. Core adds a US-based bookkeeper; its price is not clearly shown on Pilot's page.
- Zeni: $549 to $799 a month per business billed monthly ($494 to $719 billed yearly), plus QuickBooks Online Plus. AI does the books, with a dedicated finance team on each account.
- Bench: $199 to $649 a month for a human bookkeeper, 20% off billed yearly; Bench's site describes no AI. It closed suddenly in December 2024 and restarted in January 2025 after Employer.com bought it.
What to look for
- Does it post, or only suggest? Many tools suggest a category and wait for you to click on each transaction or batch.
- Does it reconcile, and who finishes? Some tools match the statement lines and leave the last step to you.
- Can you see and undo what it did? Look for a review list of what it was unsure of and a way to reverse its changes.
- Does your bank connect on the plan you are buying? Some free and low plans have no bank feed or cap the number of banks.
- What does each company cost? Most tools charge per company, and combined reports often cost more or need an add-on.
- Does it work in ChatGPT or Claude, and can it make changes there or only read?
- Can you leave with your data? Check that reports and the general ledger export before you commit.
Switchbooks fits if
- You want the AI to do the bookkeeping, not only suggest it: Switch categorizes, posts, matches transfers and reconciles when you ask, or every week if you turn that on.
- You want a low price: $25 a month per company, every feature on one plan, no annual contract.
- You run several companies and want combined Profit and Loss, Balance Sheet and Cash Flow at no extra cost.
- You want to work on your books from ChatGPT, Claude, Cursor or Grok Bot, with changes allowed.
- Your bookkeeping is mostly bank and card activity, and invoicing and payroll run in other tools.
- You are moving from QuickBooks Online: three CSV exports bring over your vendors, chart of accounts and journal history.
Look elsewhere if
- You send invoices or pay bills from your books. Switchbooks has neither; QuickBooks Online, Xero, Zoho Books, FreshBooks and Wave all include invoicing.
- You want payroll in the same product. Switchbooks does not run payroll; it books your payroll provider's register as a journal entry. Xero, FreshBooks and Wave sell payroll add-ons.
- You track inventory. Switchbooks has no inventory.
- You need accrual books. Switchbooks keeps books on a cash basis, with accruals booked as journal entries; Kick has an accrual ledger on Plus, and Digits books accrual entries.
- You need consolidation with intercompany eliminations. Switchbooks' combined reports add companies together without eliminations; Kick has it on Advanced ($300 a month), and Docyt handles intercompany and consolidation for hotel groups.
- You need a SOC 2 report from your bookkeeping software. Switchbooks does not hold a SOC 2 or ISO 27001 certification; its security page lists the controls in place.
- You run hotels or multi-location restaurants. Docyt is built for them.
Switchbooks at a glance
- Price: $25 a month per company. One plan with every feature. No per-user fee, no setup fee and no annual contract.
- Free trial: 10 days for each new company, with no credit card. Nothing is charged when the trial ends; the company is locked until someone subscribes.
- How transactions get posted: New transactions arrive in To Review with a suggested category and payee. A transfer between two of your own accounts, such as a credit card payment, is linked and posted on its own once both sides arrive and can only match each other. Switch posts the rest when you ask ("Do my books"), or every week if you turn on the weekly books check with Do the work too, and rules you set can post matching transactions on their own. When you connect the first bank of a new company from the Switchbooks chat, Switch goes through the first transactions by himself, posts what he is sure of and emails you his questions.
- Hands-off option: Turn on the weekly books check and its Do the work too option, and every week Switch posts what he is sure of, matches transfers, reconciles to the bank statements Switchbooks has and leaves a short note when he changed or found something new. Both settings are off until you turn them on. On a schedule he never deletes, merges or imports anything, and sends no email except his notes, to team members who choose email.
- AI assistants: Switchbooks also works inside ChatGPT, Claude, Cursor, Grok Bot (xAI's agent) and Grok chat (as a custom connector), and in any MCP client at https://app.switchbooks.ai/api/mcp. Switchbooks charges nothing extra for this.
- Several companies: One login for any number of companies, each with its own books and its own $25 subscription. Combined Profit and Loss, Balance Sheet and Cash Flow across companies are included at no extra cost.
- Bank connections: US banks and credit cards through Plaid: checking, savings, money market and credit card accounts, in US dollars. New transactions arrive on their own. Files can also be imported: CSV, Excel (.xlsx), PDF bank statements, and OFX, QFX or QBO (Web Connect) bank downloads.
- Not included: Running payroll (Switch books your payroll provider's register as a journal entry), invoicing and accounts receivable, bills and bill pay, inventory, sales tax filing, 1099 filing, multiple currencies and time tracking.
Questions
What bookkeeping software uses AI?
As of October 2026, most of it. QuickBooks Online (Intuit Intelligence), Xero (JAX) and Zoho Books (Zia) added AI to familiar accounting software, mostly as suggestions and a chat. Kick, Digits, Puzzle, Bookeeping.ai and Switchbooks are newer products built around AI, and several of them post transactions with little or no clicking. Booke AI adds AI to an existing QuickBooks Online or Xero file, and Docyt is built for hotels and restaurants. FreshBooks and Wave fill in categories on imported transactions, but neither describes an AI assistant in the app.
What is the best AI bookkeeping software?
It depends on what you want the AI to do. For the most hands-off books, Digits says 95% or more of transactions post with no person touching them, from $65 a month, but you move your whole ledger to Digits. Kick posts the categories it is sure of and is free for up to 250 transactions a year. QuickBooks Online has the most built-in AI help in a familiar product, from $38 to $340 a month, but its AI only suggests. Switchbooks, which publishes this page, is $25 a month per company: Switch posts and reconciles when you ask, or every week, and the same books work in ChatGPT and Claude with changes allowed.
Is there free AI bookkeeping software?
Yes, with limits. Kick is free for one company and 250 categorized transactions a year; its connection to ChatGPT and Claude needs a paid plan. Zoho Books is free while yearly revenue stays under $50,000 (1 user plus an accountant, 1,000 invoices a year), and Zoho does not say which plans include its AI features. QuickBooks Online has a free plan for 1 user, 1 bank connection and 2 invoices a month. Wave's free Starter plan has no automatic bank import. Switchbooks has no free plan; each new company gets a 10-day free trial with no credit card.
Can AI do my bookkeeping without a bookkeeper?
For routine monthly bookkeeping, often yes. Digits posts most transactions and reconciles on its own, Kick posts the categories it is sure of, and Switch in Switchbooks categorizes, posts and reconciles when you ask or every week. You still answer questions about unclear transactions and check what the software flagged. Filing tax returns is separate work, usually for a CPA or tax preparer.
Does QuickBooks have AI?
Yes. Intuit Intelligence in QuickBooks Online suggests categories for bank transactions and learns from your choices. On Essentials ($85 a month) and up, it puts the transactions it is sure of in a Ready to post batch, and on Plus ($140) and up, it compares an uploaded bank statement with your books. A chat, labeled beta, answers questions. Intuit's help pages say you review and post the batch yourself and a person finishes the reconciliation, so the AI suggests rather than posts.
Which AI bookkeeping software works with ChatGPT?
As of October 2026, QuickBooks Online, Xero, Kick, Digits, Puzzle, Zoho Books and Switchbooks connect to ChatGPT. QuickBooks' app works on invoices, estimates, customers and payment links. Xero's plugin answers questions from your books. Kick shows a preview and asks before any change. Digits and Puzzle connect through their MCP servers, and Puzzle's is in alpha. Zoho Books needs its MCP server set up first. Switchbooks is in the ChatGPT plugin directory and, with changes allowed, can categorize, post, match transfers and reconcile. FreshBooks has an official Claude connector that only reads, and no official ChatGPT app was found.
What is the cheapest AI bookkeeping software?
Kick's free plan, if you have up to 250 transactions a year. Among paid plans, Zoho Books starts at $15 a month billed yearly ($20 monthly), Wave Pro at $19 and FreshBooks Lite at $23. Zoho Books' bank suggestions are early access by request, Wave's pages do not call its categorizing AI, and FreshBooks Lite has no bank reconciliation. Switchbooks is $25 a month per company with every feature, and Switch posts and reconciles for you. Xero starts at $27, Bookeeping.ai at $29 billed yearly and Puzzle at $30 billed yearly.
Which AI bookkeeping software is best for several companies?
Most charge for each company separately. QuickBooks Online has no consolidation (Intuit sells Intuit Enterprise Suite for several entities), and Xero and Zoho Books users turn to add-ons to combine reports. Kick covers unlimited entities from Plus ($100 a month), each $50 a month after 250 transactions a year, and consolidates with intercompany eliminations on Advanced ($300 a month). Digits includes several entities on every plan, free up to 250 transactions a year each, then from $35 a month. Switchbooks is $25 per company with combined Profit and Loss, Balance Sheet and Cash Flow included; it does not post intercompany eliminations.
