Migrate from QuickBooks Online
October 4, 2026By Ryland Beard
Moving from QuickBooks Online takes three exports and one upload. Your QuickBooks account is not touched, so you can keep it open as a backup while you settle in.
1. Export three files from QuickBooks Online
- Vendor Contact List. Expenses → Vendors → Vendor Contact List → Export to CSV.
- Account List. Accounting → Chart of Accounts → Run report → Export to CSV.
- Journal. Reports → Journal → set the date range you want to bring over → Export to CSV.
Set the Journal date range to cover everything you want in Switchbooks. Longer histories take longer to import, but there is no limit.
2. Upload them to Switchbooks
Open Settings and find the QuickBooks import. Upload the three files. Switchbooks imports in order: payees first, then the chart of accounts, then transactions. Each stage shows a preview before anything is written, including accounts whose name or type clashes with one already in your books.
You can also drop the three files into the chat. The agent previews what comes in, names anything missing, and imports all three once you confirm.
3. Review and connect your bank
After the import, check a Profit & Loss for a month you know well and compare it with QuickBooks. Then connect your bank accounts from the Banking page so new transactions keep flowing in.
Not on QuickBooks Online?
Switchbooks accepts CSV, Excel, PDF statements, and OFX files for any account, so you can bring history from any tool that exports transactions. Or start fresh by connecting your bank and let the agent categorize from day one.
