Rules and automatic categorization

New transactions land in To Review on the Banking page. Nothing reaches your reports until it is posted, so To Review is your queue. Here is how Switchbooks fills it in for you.

Rules run first

A rule matches on the transaction description or amount and sets a category and payee. Rules run in priority order and the first match wins. Make one when a vendor repeats and is always filed the same way: match the words that name the vendor, not a payment processor like Square or Stripe, and not an amount alone.

Create rules from the Rules page, or ask the agent in chat: "Make a rule that files Google Workspace as Software." The rule editor previews how many pending transactions it would match before you save.

The agent suggests the rest

After rules run, the agent fills any empty category or payee using your posting history and the transaction description. Suggestions never post. If it is not sure, it leaves the field blank rather than guessing.

Select rows in To Review and choose Add to chat to work through them with the agent.

Posting

Review the suggestions, correct anything, and post. Or ask the agent: "Post my To Review." It shows what it would post and does it when you say yes. Posted transactions can be unposted back to To Review, and changes the agent makes can be undone from the chat.

Auto-post

The only thing that posts by itself is a rule with Post matching transactions automatically switched on. Use it for vendors your books have filed one way for months. Everything else waits for you.
